Privacy policy

Plain language on what this website and Riley Oickle collect about you, why, who sees it, and how to ask about it. This policy applies to oicklemortgages.com and to residential mortgage services provided by Riley Oickle, Associate Mortgage Broker, Nova Scotia licence 2025-3001134, with Indi, The Independent Mortgage Company Ltd..

Who is responsible

Oickle Mortgages is the residential mortgage practice of Riley Oickle, an associate mortgage broker licensed in Nova Scotia with Indi, The Independent Mortgage Company Ltd. (Nova Scotia Mortgage Brokerage licence 2025-3000688). Personal information collected through this site is handled by Riley and by the brokerage under the federal Personal Information Protection and Electronic Documents Act (PIPEDA), the Nova Scotia Mortgage Regulation Act and its regulations, and the brokerage's own privacy practices. Where the brokerage's policy and this page differ, the brokerage's policy governs the mortgage file.

What we collect

From the forms on this site. Your name, phone number and email address, and anything you choose to add: your community, a rough purchase price or mortgage amount, a renewal date, a build timeline and free-text notes. Each form also records which page it was sent from and the intent you selected, such as pre-approval, renewal or a call request.

Later, if you proceed with an application. With your written consent, the information a lender needs to assess a mortgage: government identification, income and employment details, tax returns and notices of assessment, bank and investment statements, details of your debts and any property you own, and information about the property you are buying, building or refinancing. This is collected through a secure upload link, never through the website forms.

Credit information. A credit report is obtained only after you have signed a written consent. One report is shared across the lenders and insurers we approach on your behalf, so a single application does not produce repeated inquiries.

Automatically. The site's hosting provider records ordinary server logs, including your IP address, browser type and the pages requested, to keep the site running and secure. See cookies below.

Why we collect it

  • To respond to your enquiry and tell you what you are likely to qualify for.
  • To assess your application and arrange financing with a lender and, where the mortgage is insured, a mortgage insurer.
  • To meet the record-keeping, disclosure and identity-verification obligations of a licensed mortgage brokerage in Nova Scotia and federal anti-money-laundering rules.
  • To stay in touch about your file, your renewal and related services you have asked about. You can ask us to stop at any time.

We do not sell personal information, and we do not use it for advertising.

Who it is shared with

  • Lenders and mortgage insurers you apply to, so they can underwrite the mortgage. Each has its own privacy policy that applies once they hold your information.
  • Indi, The Independent Mortgage Company Ltd., the licensed brokerage Riley works under, which holds the mortgage file and supervises the work.
  • The lawyer you choose for closing, who receives the lender's mortgage instructions and the details needed to complete the transaction.
  • Service providers that operate on our behalf, such as the email provider used to deliver form submissions, the secure document-upload service and the site's hosting provider. They may process your information only for the service they provide.
  • Regulators and the law, where a Nova Scotia or federal authority is entitled to it, or where a court orders it.

Some service providers store data outside Canada. Where they do, your information may be subject to the laws of that country.

By sending a form on this site you consent to Riley using the details you provided to respond to that request. A credit bureau report is pulled only after you have signed a separate written consent, which you will see and sign along with the Form 1 mortgage brokerage disclosure before any services begin. You may withdraw consent at any time by writing to [email protected], subject to legal and contractual limits; withdrawing consent may mean we cannot continue to arrange financing for you.

How long we keep it

Enquiries that do not become an application are kept only as long as needed to respond and follow up, then deleted. Application records, including the signed disclosure and consent, are retained for the period required by the Nova Scotia Mortgage Regulation Act and its regulations and by brokerage policy, then securely destroyed.

How we protect it

Application documents are collected through an encrypted upload link rather than email, stored in access-controlled systems, and shared with lenders through their own secure channels. Please do not send tax returns, bank statements or identification as email attachments. No method of transmission is perfectly secure, and we will tell you promptly if a breach affecting your information creates a real risk of significant harm.

Cookies and tracking

This site sets no cookies beyond those strictly necessary for it to function, and uses no advertising trackers or third-party analytics at launch. If that changes, this policy will be updated and any non-essential tracking will ask for your consent first. Links to other sites, including lender, government and Indi Mortgage Commercial Division pages, are governed by those sites' own policies.

Your rights

  • Access. Ask what personal information we hold about you and how it has been used and shared. We will respond within the time PIPEDA allows.
  • Correction. Ask us to correct anything inaccurate or incomplete, and we will pass the correction to any lender or insurer that received the original.
  • Withdrawal of consent. Ask us to stop using or sharing your information, subject to the limits described above.
  • Complaint. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada, or about brokerage conduct to Service Nova Scotia, which regulates mortgage brokerages under the Mortgage Regulation Act.

Changes to this policy
